CRM — Leads & Contracts

1) Overview
The CRM module manages the pipeline from first contact (Lead) through to a signed agreement (Contract).
Navigate to CRM in the sidebar to access Leads and Contracts.
2) Leads
Navigate to CRM → Leads.
A Lead is a prospective contact that has not yet converted into a formal partner or contract. Leads move through a status pipeline managed by the sales team.
Leads List
Columns:
| Column | Description |
| Updated | Date the lead record was last changed |
| Name | Lead's full name (and company if applicable) |
| Type | Lead type / classification |
| Owner | The NVG team member responsible for this lead |
| Status | Current pipeline stage (badge) |
| Action | Buttons to view, edit, or manage the lead |
Filters:
- Search — free text by name or company
- Status — filter by pipeline stage
- Owner — filter by team member responsible
- Language — filter by the lead's communication language
Lead Status Pipeline
Leads move through the following stages:
| Status | Meaning |
| NEW | Just created, not yet assigned |
| CLAIMED | A team member has taken ownership |
| ASSIGNED | Formally assigned |
| CONTACTED | First contact has been made |
| FOLLOWUP | Awaiting a follow-up |
| SCHEDULED | Meeting or call scheduled |
| CONVERTED | Lead has been converted to a partner / contract |
| CLOSED | Lead closed without conversion |
Creating a Lead
Click “Add Lead” (or the equivalent button available on your access level) to open the lead creation form.
Lead Detail
Clicking a lead opens its full detail view with all contact information, status history, and activity log.
Access Control
- Users with
leads:*access see all leads in the system. - Users with
leads:ownaccess see only leads where they are the Owner. - The Owner filter in the list allows team leaders to view a specific team member's leads.
3) Contracts
Navigate to CRM → Contracts.
A Contract is a formal agreement between an NVG tenant and a business partner, with its own lifecycle from draft through to activation.
Contracts List
Columns:
| Column | Description |
| Number | Unique contract reference number |
| Business Partner | The external party to the contract |
| Type | Contract type (configured per NVG use case) |
| Created | Date the contract record was created |
| Status | Current lifecycle stage (badge) |
| Actions | View, edit, and manage buttons |
Filters:
- Search — by contract number or partner name
- Status — filter by: Draft, Pending, Signed, Active
Contract Status Lifecycle
| Status | Meaning |
| DRAFT | Contract is being prepared |
| PENDING | Awaiting review or signature |
| SIGNED | Signed by all parties |
| ACTIVE | Contract is live and running |
Creating a Contract
- Click “Add Contract” in the top-right of the contracts list.
- Fill in the contract details (partner, type, dates, etc.) in the form.
- Save.
Contract Detail
Opening a contract shows its full detail: partner, type, all dates, status, and linked documents. From here you can change the status, view linked invoices, and access generated document files.
4) Common Tasks — Quick Reference
